Invoicing & accounts receivable in Lethbridge
Sound familiar?
- Invoices go out late, or not at all
- You’re not sure which customers have actually paid
- A deposit landed and you don’t know which invoice it was for
- You only notice an unpaid invoice months later
Invoicing, done consistently
I prepare and send your invoices from QuickBooks Online on the schedule you choose, with your GST shown correctly. If your customers are GST registrants, a properly detailed invoice matters to them too: on purchases of $500 or more, they need details like your GST number, their name, a description and the payment terms to claim their input tax credits.
Accounts receivable: knowing who owes you
When payments come in, I match each one to the right invoice, so your books show exactly what’s outstanding. Each month you can see your accounts receivable aging: a list of who owes you, how much, and how long it’s been. Then you decide who gets a friendly reminder.
Holdbacks for contractors
If you work in construction, part of what you’re owed may be held back. Under Alberta’s Prompt Payment and Construction Lien Act, owners generally retain a 10% lien holdback for 60 days (90 days for some oil and gas and concrete work). I track holdbacks separately, job by job, with the date they’re due, so they don’t quietly disappear into “old receivables.”

For Lethbridge-area businesses that bill as they go
Agriculture and related businesses make up nearly 20% of the region’s economy, and the transport and warehousing cluster along Highway 4 counts more than 200 firms. The trades, haulers and suppliers that serve them, in Lethbridge, Coaldale and Taber, often bill on invoice and wait to be paid. A consistent invoicing routine, tied to monthly bookkeeping, keeps that money coming in.
Invoicing works best alongside monthly bookkeeping, where your receivables are reconciled with everything else.
Invoicing, from $50/hour
Invoicing and receivables are charged by the hour, from $50/hour, and added to your bookkeeping quote, based on how many invoices you send each month. Every quote is confirmed after a free review of your books.

Questions about invoicing
Can you send invoices on my behalf?
Yes. I prepare and send invoices from your QuickBooks Online file, on the schedule and terms we agree on.
What is an accounts receivable aging report?
It’s a list of every unpaid invoice, grouped by how long it’s been outstanding: current, 30 days, 60 days and so on. It shows at a glance who owes you and which invoices need attention.
Will you chase customers who don’t pay?
I’ll keep track of what’s overdue and tell you who needs a reminder. How you follow up with your own customers is your call, and I don’t act as a collection agency.
My customers pay by e-transfer. Can you match those?
Yes. E-transfers, cheques and card payments all land in your bank account, and I match each deposit to the invoice it pays, so nothing shows as owing once it’s paid.
Do you track construction holdbacks?
Yes. I record holdbacks separately by job, with the date they’re due to be released, so they don’t get lost among older receivables.
Let’s get your books level.
Tell me where things stand, even if it’s messy, and I’ll tell you honestly what it’ll take to catch up and keep it that way. Every quote is confirmed after a free review of your books.
